Chromium Guard Inc. ("Chromium Guard," "we," "us," or "our") is a boutique concierge security firm headquartered in Mississauga, Ontario, providing licensed security services across the Greater Toronto Area. We are committed to protecting the personal information of everyone who interacts with us — including prospective clients, current clients, website visitors, and employment applicants.

This Privacy Policy describes how we collect, use, disclose, and safeguard personal information in compliance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable Ontario privacy legislation.

1. Information We Collect

We collect personal information only for clear, legitimate purposes. Depending on how you interact with us, we may collect:

  • Contact information: name, email address, phone number, mailing address
  • Business information: property name, corporation number, building address, role or title
  • Inquiry details: messages submitted through our contact or quote request forms
  • Employment information: resume, work history, references, certifications (for applicants)
  • Website usage data: pages visited, time on site, browser type, IP address (via analytics tools)
  • Communications records: emails, phone call notes, and correspondence related to our services

We do not collect sensitive personal information such as financial account numbers, government identification numbers, or health records through this website.

2. How We Use Your Information

We use personal information to:

  • Respond to inquiries and deliver requested information about our services
  • Prepare and issue service proposals, contracts, and invoices
  • Provide and manage concierge security services to client properties
  • Process employment applications and communicate with candidates
  • Improve our website, communications, and service quality
  • Comply with legal obligations as a PSISA-licensed security provider
  • Send relevant updates or service communications (you may opt out at any time)

We do not sell, rent, or trade personal information to third parties for marketing purposes.

3. Disclosure of Information

We may share personal information with:

  • Service providers: trusted vendors who assist with website hosting, email delivery, and analytics — bound by confidentiality obligations
  • Professional advisors: lawyers, accountants, or insurers where required for business operations
  • Regulatory authorities: where required by law, court order, or regulatory requirement (including under the Private Security and Investigative Services Act, 2005)
  • Successor entities: in the event of a merger, acquisition, or restructuring of our business

Any third parties we engage are required to handle personal information in a manner consistent with this policy and applicable law.

4. Cookies and Website Analytics

Our website may use cookies and similar technologies to understand how visitors use the site. This includes analytics tools (such as Google Analytics) that collect aggregated, anonymized usage data. You may disable cookies through your browser settings, though some site features may be affected.

We do not use cookies to deliver targeted advertising or track individuals across unrelated websites.

5. Data Retention

We retain personal information only as long as necessary to fulfill the purposes for which it was collected, or as required by applicable law. Client records are typically retained for a minimum of seven (7) years following the end of a service engagement, consistent with standard business and regulatory requirements. Employment application records are retained for twelve (12) months unless a position is offered.

6. Security Safeguards

We implement administrative, technical, and physical safeguards appropriate to the sensitivity of the information we hold. These include secure data storage, access controls, and confidentiality obligations for employees who handle personal information. While no system is entirely immune to risk, we take reasonable precautions to protect against unauthorized access, loss, or disclosure.

7. Your Rights

Under PIPEDA, you have the right to:

  • Know what personal information we hold about you
  • Request corrections to inaccurate or incomplete information
  • Withdraw consent to certain uses of your information (subject to legal or contractual limitations)
